Transitioning to UIC Research Electronic Submission System
On JULY 29, the Animal Care Committee will begin using the UIC Research IACUC Electronic Submission System. All new or triennial renewal protocols submitted after this date must be completed within the new system. Please reach out to OACIB (oacib@uic.edu) for a lab-specific training and live demonstration prior to utilizing the new system to submit protocols.

Answer
All protocols will be transferred over to the new electronic submission system on July 29. This transferred protocol maintains all regulatory details as before; including the approval date, expiration date, Principal Investigator, protocol title, protocol number, and the originally approved number of animals. Note that the Biologic Resources Lab will maintain the accounting of all animals ordered, bred, and transferred for each protocol since the original protocol approval.
These transferred protocols will act as electronic shell protocols until the protocol reaches expiration. The OACIB will upload all final versions of that protocol and its associated modifications as attachment into each shell protocol under Supporting Documents to ensure that the PI and research group have access to all the approved details. Further, these final versions that are uploaded with the electronic shell protocol should be used when creating the full version of the protocol when the 3-year renewal period arrives.

Until your protocol goes through Triennial Review and is fully incorporated into the new system you should continue to submit modifications via Form D sent to oacib@uic.edu. OACIB will add any needed data to the UIC Research system for you and upload a copy of the approved modification.
Following Triennial Review modifications will be submitted through the UIC Research system. Note that modifications in the new system are referred to as amendments.

Upon protocol transfer into the new system, Research Teams will be created for each protocol. The PI should login to the IACUC tab on to review the Research Team and remove any personnel that are no longer working on the protocol(s). All UIC personnel have access into the system using their NetIDs. For anyone listed on a protocol that is outside UIC and does not already have a NetID, please contact oacib@uic.edu for assistance.
Answer
- Principal Investigators need to ensure that all active protocols appear when they log in to their Research Team.
- Research Teams should be checked and updated as necessary. If a person is removed from the Research Team, they will also need to be removed from each personnel that they are listed on.
- Species and originally approved animal numbers should be checked for accuracy. NOTE that the Used column will not populate until the Animal Operations module is active.
